Awards

The Host Cub’s Awards Chairman, Registration Chairman and Tabulation Chairman work very closely together before and during the show.  The Awards Chairman must work with the GCV Daffodil, Lily or Rose Chairman in organizing horticulture awards.  It is most helpful to attend flower shows and observe the process of registration, tabulation and awards prior to hosting a show.

 Guidelines

  1. GCV Perpetual Trophies.  These trophies are kept for one year. During the award ceremony a representative from the Flower Shows Committee will have a notebook for the winner to sign the trophy out into her possession so that the Flower Shows Chairman may know where the trophies are for the next year’s show. Perpetual Trophies should be returned to the Kent-Valentine House no later than 2 weeks prior to the next year’s show.
  2. Perpetual Award Card  (7 x 9).  These cards accompany each Perpetual Trophy and are the only cards signed by the GCV President.
  3. Annual Award Cups.  These cups are won outright and are presented by GCV and the Host Club.
  4. GCV Award Awards ( 5 x 7-1/4) are presented to the following:
    • Blue ribbon winners in Rose and Lily Horticulture for single specimen categories
    • All ribbon winners in Rose and Lily Horticulture Collections Classes or in classes exhibiting more than one specimen.
    • All ribbon winners in Daffodil Hortiiculture Sections A,B,G I and Best Stem in Show.
    • Some Daffodil Horticulture Sections are awarded satin ribbons in place of cards.
  5. When in doubt, ask the GCV Daffodil, Lily or Rose Chairman for further clarification.
  6. Generally, the cards are Blue, Red, Yellow and White. There are some exceptions.
    • Green ribbon card for the Most Creative Artistic arrangement
    • Quad Blue for the Best in Inter Club artistic arrangement
    • Tri-Color (Blue, Red, and Yellow) for the Best in Show by an Individual in the artistic individual classes
    • Miniature Cards (3 x 5-1/4) in Rose and Daffodil Horticulture miniature classes. 

Prior to Show

  1. Solicit donors from your club for Annual Award cups prior to the printing of the schedule. The engraving of 'GCV' on these awards is the responsibility of the Host Club. Do not engrave a date. If not awarded, the award may be used the next year.
  2. Prepare Award Cards with ribbons and seals. You may want to review last year’s Complete Award List to estimate the number of cards needed in each class. If you are certain of awarding the award card, (Ex. Quad Blue and Tri-Color) you may fill out the date of the show. All award cards are filled out in green ink. For Perpetual Award cards, check to be sure that you have an award card for each Perpetual Award, but only be sure that the name of the award is filled in. Do not have the GCV President sign the cards until you are sure that they will be awarded. There are some perpetual awards that are not always awarded. Cards may be passed along from the prior show. Cards are obtained from the GCV Daffodil, Lily or Rose Chairman or the GCV Flower Shows Chairman.
  3. Go through the schedule and look at each section and class and make the decision about what will be filled out on the card. ( Ex. Entry: name of the rose, daffodil, or lily) (Ex. Entry: Shrub Collection) Each award card writer should have a copy of a schedule in front of her so there will be consistency.
  4. Hold an Award Card writers meeting prior to the show to study “copied examples” of the award cards and go through the schedule. (You will need entry stubs to practice this exercise.)
  5. Award card writers may be grouped according to the schedule and they will be familiar with the writing of only their assigned classes. (Tip: Have several writers assigned to the classes that are written in the name of the GCV Club and not the individual. Since all stubs need a name and address this is often an error. Ex. Inter Club and Club Collections.) 
  6. Type or print identification cards for the trophies that will be displayed on the trophy table.
  7. Secure the Award Notebook that will have pictures of all perpetual trophies for your show. It will be held by the GCV Flower Shows Chairman or her designee.

Day of Show

  1. Obtain a registration list from the Registration Chairman. This will help with the proper spelling of exhibitor names. Be sure to have on hand a listing of names of the flowers. (Ex. ARS Handbook: It will help with the spelling of the entries.)  The GCV Handbook and Directory is helpful in looking up entrants names. 
  2. Be sure that each award card writer has a show schedule.
  3. Place all Trophies on the trophy table in the order to be awarded, going directly by the schedule. People attending the award ceremony can follow the format more easily. Remember to provide for adequate protection of trophies.
  4. Each trophy should have an identification card to avoid awarding the wrong trophy by mistake. (The exception is the GCV annual awards given by the sponsoring club. They are all alike so it is not necessary to label them.)
  5. The Flower Show Chairman’s Cup, the Member Club’s Cup, The President of Member Clubs Cup and the Flower Chairman’s Cup will be supplied by the GCV Flower Shows Chairman on the day of the show. Other award cups may be supplied by the GCV Flower Shows Chairman on the day of the show. (Ex. In the Rose Show, the English Box and the Benjamin F. Parrott Cup. In the Daffodil Show, the Daffodil Committee Cup) When in doubt, ask the GCV Flower Shows Chairman.
  6. Fill out award cards as the entry stubs are forwarded to the writers from Tabulation. Be patient, the judging process is tedious.
  7. Be sure that the completed, written cards are put in a designated area for the runners to put with the entry.
  8. The Awards Chairman makes SURE that all award cards are written and that the GCV President signs only the Perpetual Award cards that will be awarded.

After the Show

  1. Collect all unclaimed Award Cards, Ribbons and Entry Stubs and work with Container Return to mail to exhibitors.
  2. Return unclaimed Perpetual Trophies to the Kent-Valentine House immediately to be placed in the trophy case on the third floor.
