Artistic Clerks and Runners
Artistic Clerks and Runners perform clerical duties during show judging and transport exhibitor entry tag stubs to Tabulation throughout the judging process.
Guidelines
- There are a number of GCV Flower Shows Committee members on the floor to answer questions. When in doubt ASK!
- Become familiar with the Artistic Schedule.
- Learn the layout of the artistic classes on the show floor.
- Become familiar with the exhibitor entry tag and its use.
- Clerks and Runners wear aprons with pockets containing supplies needed for judging the show.
- Observe the judging process silently and stay with assigned judging team.
- Comment Cards are written on all arrangements.
- Insure that all written award cards are picked up from the Awards Committee and placed with arrangements and specimens.
Checklist
- The Host Club’s Chairman of Clerks and Runners recruits 12 individuals to serve as Clerks and Runners. (2 clerks and 1 runner for each team of artistic judges)
- The GCV Artistic Judges Chair has divided the Artistic schedule equitably into four divisions for judging. The 12 clerks and runners likewise will be divided into 4 teams.
- The first class to be judged by the teams will be the Inter Club. The judges will carefully peruse all the entries in their assigned Inter Club Division. The clerks will carry 5 pieces of paper (all the same color) to mark the 5 entries to be considered for the awards. (Blue, Red, Yellow and White) After the Judges’ discussion and point scoring, the award decisions are made. The runner will be asked by a judge to punch the hole in the stub that also goes through the entry tag in the appropriate spot. (Blue, Red, Yellow or White) There may be more then one white.
- Comment Cards are written on all arrangements. Usually the Judges dictate the award winners first. One clerk writes the card as dictated. The next clerk moves with the Judges to write the next card as dictated. Be sure the writing is neat and legible. After the comment cards are written for all Inter Club Arrangements in the assigned class, the runner may pull off all stubs in the judged Inter Club Class, covering the Blue Ribbon winner with a Sticky Note. The Blue Ribbon Winners are in competition for the Best of the Inter Club Arrangements. Taking the stubs to Tabulation at this time speeds up the Tabulation and Award Card writing.
- Stubs are placed in the Tabulation IN box by the Runner.
- Judging the Individual Classes assigned are done in the same process with this exception: After the judging is completed, the Runner pulls off ALL stubs and each entry tag name is covered with a sticky note. All individual arrangements are in competition for other awards.

Exhibitor Entry Tag
The entry tag is comprised of two sections, upper and lower, separated by a perforation two thirds of the way down. The lower third is typically called the stub. Each exhibitor must correctly fill out both portions of the tag with identical information. After examining the entry tag, the Artistic Passers fold up the bottom stub and secure it under the lip of the top section, thereby hiding the exhibitor’s name. Passers mark a red “P” on the tag at this time. The stub is removed and sent to Tabulation after judging and only when given permission by the Clerks and Runners Chairman. It is imperative that both bottom and top portions of the entry tag is filled out correctly, including Section #, Class #, exhibitor’s # and Club name for Inter Club or Name for Individual Classes.
