Registration and Entries
The Registration Committee is responsible for preshow mailings, registration of exhibitors, and check-in at show time. The Registration Chairman is present during judging to assist Tabulation.
Guidelines
- Six weeks before the show, compile a mailing list, prepare labels and envelopes and send schedule and other information. Include the following:
- All exhibitors in the previous show
- All members in the GCV judging program
- Each GCV member club’s Flower Show Chairman and the Daffodil, Lily or Rose Chairman
- GCV Flower Shows Chairman
- Daffodil, Lily or Rose Chairman
- Local garden clubs
- Local horticulturists and interested commercial growers
- Assign Exhibitor ID's in the order received. Some examples:
- Artistic Classes A-13, A-25, A-32
- Horticulture Classes H-15, H-20, H-38
- Inter Club Artistic I-11C, I-26B, I-34D noting the section A,B,C,D
- Inter Club Horticulture I-11H, I-26H, I-34H
- Set up and assign committee members to man the Registration table.
- Exhibitors are asked to check in at the Registration Table on arrival at the show.
- Entry tags for Artistic Exhibitors may be completed in advance by Registration and ready for exhibitor’s arrival.
- Extra entry tags should be available for exhibitors at the Registration Table
- Create and maintain an alphabetical Master Registration List and provide copies to Tabulation, Awards and Container Return as needed.
- When a member club registers for an Inter Club Artistic class, verify the class against the Inter Club Assignment table. The four Inter Club arrangement sections are designated by letter: A, B, C, or D. Assign ID numbers in the order received. Arrangements will be placed on the show floor in the assigned section (A, B, C, or D) in numerical order. (I-7C, I-18C, I-27C, etc).
- Assign member club Horticulture Collections the same exhibitor number as their Inter Club Artistic entry. Instead of a group letter, “H” is used to denote horticulture. (I-7H or I-40H, etc.)
- Assign Artistic Exhibitor ID's such as A-5 or A-37 where “A” for Artistic and the “entry number” is assigned in the order received.
- Request the following entry information:
- Name
- Exhibitor # (to be assigned)
- Address
- Phone
- Garden Club
- Artistic Class
- Maintain a list of entries for each artistic class to enable the Host Club Show Co-Chairmen to see at a glance how the classes are filling. For example: Class 55, “Wine and Roses” 4 entries permitted:
- Jane Doe, Exhibitor #A-6
- Sue Blue, Exhibitor #A-25

- Maintain an optional file of Individual Exhibitors. This file is a cross-reference and contains the same individual entry information on all individuals registered in either Artistic or Horticulture classes. The cards are filed alphabetically.
- Maintain an optional file of Inter Club and Member Club Collections. This alphabetical card file contains all registration cards for Inter Club Artistic and Member Club Collections. All information is recorded on green cards for Inter Club arrangements and yellow cards for Member Club collections. The card lists the name and address of the exhibitor responsible for her club, and the assigned exhibitor ID.
- When the floor is closed for judging, move from show entrance into the Tabulation area.
- With the Tabulation Chairman, check each winning stub for accuracy against the Master Registration List.
