Procedures for Donating a Perpetual Trophy
The garden club sponsoring a proposed perpetual trophy will submit a written proposal of its desire to donate an honorary or memorial perpetual trophy to a specified GCV Flower Show. The proposal will include reasons the names individual is to be so honored/memorialized. The proposal must then be sent directly to the GCV Flower Shows Chairman as well as the appropriate GCV Daffodil, Lily or Rose Chairman by email
- The GCV Daffodil, Lily or Rose Chairman, after having determined that an additional perpetual trophy can be accepted, will present the proposal at a meeting of the Flower Shows Committee. The Flower Shows Committee will vote on the proposal and, if passed, the Committee, in cooperation with the GCV Daffodil, Lily or Rose Chairman, will determine to which class in the show schedule the trophy will be awarded. The sponsoring club may request that the trophy be awarded to a certain class; however, there is no guarantee that such a request will be granted.
- The sponsoring garden club will present to the Flower Shows Committee, for approval, the trophy (or a well-defined photograph) and the intended working to be engraved thereon.
- The approved / finalized proposal and a representation of the trophy and engraving will be presented to the GCV Board of Directors for final approval at the next Annual Meeting (May) or Board of Governors' Meeting (October).
- Having received a positive response to all the above-named requirements, the sponsoring garden club will advise the donor (if other than the club itself) to proceed with securing and engraving the trophy for awarding at the next appropriate show.
Regarding Perpetual Trophies
- Perpetual trophies should be sterling silver, quality silverplate, or quality pewter. Because of the risk of breakage, crystal trophies are not recommended.
- One-piece trophies are recommended. (NOTE: a few existing trophies have separate bases and/or two or more components. It is imperative that the various pieces be accounted for when awarded and when returned.)
- Engraving on the trophy itself is required and must include the show (daffodil, lily or rose) for which it is intended as well as the year first awarded.
- The GCV requires, for insurance purposes, an appraisal of perpetual trophies: those made of sterling silver and certain antique sliverplated ones of great value. New trophies shall be available for appraisal as determined by the GCV Finance Committee.
